1. Introduction

Lifestyle Avatar LLC ("we," "us," "our") operates the platform at https://lifestyleavatar.com and its subdomains (the "Platform"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

By using the Platform, you agree to the practices described here. If you do not agree, please do not use the Platform.

This policy applies to coaches who use the Platform to run their coaching business, clients who book sessions with those coaches, and anyone else who visits our website.

2. Information we collect

Account information you provide:

  • Email address (used for account creation and magic-link sign-in)
  • Full name
  • Mobile phone number in E.164 format (clients only; required for SMS verification and accountability)
  • Time zone

Coaching information you provide:

  • For coaches: niche, methodology, business description, brand materials (logo, photos), pricing
  • For clients: intake form responses, session notes you choose to share, messages with your coach

Payment information:

  • We use Stripe and PayPal to process payments. Card numbers and bank details are entered directly into Stripe's or PayPal's hosted checkout — we never see, store, or transmit your full card number.
  • We store metadata about transactions: amount, currency, package purchased, timestamp, last 4 digits of the card.

Communications:

  • SMS messages sent and received through the Platform (verification codes, appointment reminders, daily check-ins from your coach)
  • Emails sent and received (magic-link sign-ins, newsletters, transactional notifications)
  • In-app messages between you and your coach

Technical data automatically collected:

  • IP address, browser type, device type, operating system
  • Pages visited and actions taken on the Platform
  • Approximate location derived from IP (city-level only; we do not collect precise geolocation)

We use cookies only for essential functions (sign-in session, CSRF protection). We do not use advertising cookies or third-party tracking pixels.

3. How we use your information

We use the information we collect to:

  • Provide and operate the Platform — including matching you with coaches, scheduling sessions, processing payments, sending SMS verification codes, sending appointment reminders, delivering daily accountability check-ins from your coach, and powering the coach-client messaging surface.
  • Send transactional notifications by email or SMS that are necessary for the service you signed up for.
  • Send marketing emails (newsletters from your coach) ONLY if you explicitly opt in. You can opt out at any time using the unsubscribe link in any marketing email.
  • Improve the Platform — diagnose bugs, measure feature usage in aggregate, make the product better. We do not sell aggregate or individual data.
  • Comply with our legal obligations and enforce our Terms.

4. SMS specifically (Twilio A2P 10DLC compliance)

By providing a phone number and completing phone verification, you consent to receive SMS messages from the Platform for purposes described in this Policy and our Terms of Service.

We do NOT share SMS opt-in data with third parties for marketing purposes.

We do NOT sell SMS opt-in data.

The SMS opt-in data — your phone number and your consent — is used only for:

  • Verifying you own the phone number you provided (Twilio Verify, one-time at sign-up)
  • Sending you appointment reminders for sessions YOU have booked
  • Sending you accountability check-ins from a coach YOU have paid to work with
  • Sending you platform-essential notifications (e.g., a security alert if your account is accessed from a new device)

You can stop receiving SMS at any time by:

  • Replying STOP to any message we send you
  • Removing your phone number through your account settings page
  • Emailing us at privacy@lifestyleavatar.com

For help, reply HELP to any of our messages or email support@lifestyleavatar.com.

Message frequency varies based on the coaching plan you choose, typically 1–14 messages per week. Message and data rates may apply.

5. How we share your information

We share information in only four narrow situations:

With your coach (if you are a client) or with your clients (if you are a coach):

  • Coaches see their clients' names, intake form responses, session history, payment status, and any messages the client sends them. This is the core of the coaching relationship and necessary for the service.
  • Clients see their coach's published profile, packages, and any messages the coach sends them.
  • Coaches cannot see other coaches' clients. Clients cannot see other coaches' clients.

Each provider has its own privacy practices. We have data processing agreements with all providers that handle personal information.

When required by law:

  • We may disclose information when required by a valid court order, subpoena, or other legal process, or when necessary to protect our rights or the safety of others.

In a business transition:

  • If Lifestyle Avatar is acquired, merged, or sold, we will transfer information to the new entity, subject to the same protections in this Policy. We will notify you in advance.

We do not:

  • Sell your data to advertisers
  • Share your data with ad networks
  • Use your messages, session notes, or coaching content to train AI models
  • Share SMS opt-in data with third parties for their marketing

6. AI processing — honest disclosure

We use AI services (Anthropic Claude, OpenAI embeddings) inside the Platform to assist coaches in delivering their work. Specifically:

  • A coach can elect to have AI draft content (blog posts, social posts) in their brand voice, for the coach to review before publishing.
  • A coach can elect to have AI respond to client messages between sessions, in the coach's brand voice and trained on the coach's methodology. Sensitive or distressing client messages are automatically flagged and routed to the human coach instead of receiving an AI response.
  • Phone verification codes and daily accountability check-ins are sent automatically by the Platform (not authored by AI).

When AI processes your messages or content:

  • The data is sent to the AI provider over an encrypted connection.
  • The AI provider does not use that data to train models (per our service agreements with Anthropic and OpenAI).
  • We retain logs of AI calls for cost accounting and audit purposes (90 days), but the message contents are stored as hashes for sensitive cases (not raw text).

7. Data retention

  • Active account data: kept while your account is active.
  • After account deletion: standard data is deleted within 90 days. Some records are kept longer:
    • Payment records: 7 years (US tax and accounting requirements)
    • SMS consent records: 5 years (carrier compliance evidence)
    • Coaching session metadata (date, duration, coach, client): 7 years (ICF coaching log standards) — session NOTES are deleted with the account
    • Aggregated, anonymized analytics: indefinitely

8. Your rights

Regardless of where you live, you have the right to:

  • Access the information we hold about you.
  • Correct information that is inaccurate.
  • Delete your account and the data associated with it (subject to the retention exceptions above).
  • Export a copy of your data in a portable format (JSON).
  • Opt out of SMS marketing (you cannot opt out of essential transactional SMS like verification codes while you have an active account).
  • Opt out of email newsletters (transactional emails like magic-link sign-ins remain).

For California residents (CCPA): you have specific rights to know what we collect, request deletion, opt out of "sale" of personal information (we do not sell), and not face discrimination for exercising these rights. We do not sell personal information.

For EU/UK residents (GDPR): the legal bases on which we process your data are: (a) performance of a contract (operating the Platform you signed up for), (b) your consent (newsletter, SMS opt-in), (c) legitimate interest (security, fraud prevention), (d) legal obligation. You have the right to lodge a complaint with your local Data Protection Authority.

To exercise any of these rights, email privacy@lifestyleavatar.com from the email address associated with your account. We respond within 30 days.

9. Children's privacy

The Platform is not intended for children under 13. We do not knowingly collect information from anyone under 13.

Users aged 13–17 require parental or legal guardian consent. By creating an account, you confirm you are at least 13 and that if you are under 18, you have your parent or guardian's consent.

If you believe we have inadvertently collected information from a child under 13, please email privacy@lifestyleavatar.com and we will delete it promptly.

10. International data transfers

Your information is processed in the United States. If you are located in a country outside the US, your data is transferred to the US to provide the service.

For EU/UK users: we rely on Standard Contractual Clauses (SCCs) and other lawful transfer mechanisms with our US-based service providers.

11. Security

We use industry-standard practices to protect your information:

  • All data in transit is encrypted (HTTPS / TLS 1.2+).
  • Sensitive data at rest is encrypted (database-level encryption via Supabase + per-tenant secrets in an encrypted vault).
  • Access to production systems is limited to authorized employees and requires multi-factor authentication.
  • We log every administrative access to user data in an audit trail.

No system is perfectly secure. If we discover a breach affecting your data, we will notify you within 72 hours per applicable law.

12. Cookies

We use only essential cookies required for the Platform to function: session cookies (so you stay signed in), CSRF protection cookies (to prevent forged form submissions), and authentication cookies. We do not use cookies for advertising, tracking, or analytics.

13. Changes to this Policy

We will update this Policy from time to time. Material changes will be announced by email (to your account address) at least 30 days before they take effect. The "Last updated" date at the top reflects the most recent change.

Continued use of the Platform after a change constitutes acceptance.
